Meeting Minutes, Sun, Oct 5, 2014

Meeting was called to order at 5:45 pm at Lawrence Memorial Hospital by Dee Boeck.  President, Heather Krase-Minnick was absent.

Minutes from September were passed around and John motioned for the approval and the motion was seconded by Don.

A Request for Funding for School-based Running and Fitness Clubs was sent around for approval.  There was one grammatical error found and it was also discussed amongst the group to add some further literature to the application that makes it clear that funding to the clubs will be solely based on the available funds of runLawrence and in no way are the clubs guaranteed a certain amount of money each year that they apply.

Dee updated us on the Thanksgiving Day 5K status.  At this time all sponsorship checks (other than two businesses that have already confirmed that they would be a sponsor) are in.  currently accounted for.  Gene has stated that at this time there are 25 registrants.   Dee has ordered and confirmed the ambulance services and Port-A-Potties have been ordered as well.  There was discussion about signage for inside Woodlawn, parking, and race location.  Dee is going to look at what signs need to be updated and then it was suggested that those interested in helping with signs get together on one afternoon or evening to additional signs that are needed for race day.  Don and Lori had stated that the owners from La Tropicana had agreed to allow us to use their parking lot as needed for volunteers or participants.  Gene also mentioned that there will be no professional photographers for the race this year.  It was suggested that as an alternative we make some signs for participants to pose in front of it they should want to do that.  Heidi offered to draft up a Request for Volunteers letter to be emailed out to all runLawrence members.  There was discussion about stuffing race packets and Dee is going to check on envelopes instead of bags to make packet pick-up easier.

A volunteer is needed to attend the Cliffhanger 8K on November 2nd to check out the kiosk system they use for race day registration to see how it is operated.  We will be using the same kiosk system for the Thanksgiving Day run for any last minute participants both the day before the race (Wednesday) and race day (Thursday).  Gene and Dee will both be there. 

Becky and Heidi gave us an update on the Thanksgiving 5K Training Group.   Becky reported that there was a great turnout of 12 new runLawrence members.  It is a great beginner group with a few participants having ran 5Ks prior to this training.  They start training on Tuesday, November 7th at 6:30 pm and will meet in front of the train depot in north Lawrence.  The first training session will be showing the group dynamic warm up stretches and proper running form followed by a easy run, walk/jog or brisk walk. 

Dan was absent from this meeting so he was unable to give a report on the Youth Running Program but Dee was able to fill the group in a bit.  It looks like a great, solid group of participants and next week will be the last week for this particular group.  7th and 8th graders wanting to compete in the Sunflower league meet will have workouts the next week as well (last workout is 10/17 with race Sat, 10/18).
Don and Lori suggested we give downtown merchants gift certificates to the assistant coaches.  Dee offered to purchase them.

Dee had mentioned that Garrett Jones, of the KU Running Club, will be hosting a meet on October 25th and he is looking for some volunteers to help with various jobs.
