1. Treasurer's report
1.1. Molly e-mailed the reported balance of $5,135.72
2. Update on Thanksgiving Day Run: Dee B. reviewed the race plans.
2.1 Course certification: Ed finalized the course; LPD is reviewing
it. There is construction at 9th and Maple.
2.2 Sponsors: Greg said Great Harvest and the Merc are pending
2.3 Volunteers for assignment
2.3.1 Food: Janet will coordinate
2.3.2 Course marshals: Stacy will recruit 18, some members volunteered
2.3.3 Finish line/2 back up results recorders: Molly will coordinate
using her registration people; Janet will assist. Cutting off the
chips will be the primary club task at the finish line.
2.3.4 Awards/medals: Ellen received a 30% discount from Jayhawk
Trophy due to the number of medals. The cost will be $250.57. She
will approach a sponsor for the cost of the medals.
2.3.5 Set-up: the intent is to do this Nov. 21 dependent on the depot
availability
2.3.6 Parking: Don made two signs to direct people to available
parking. Two volunteers are needed to stand near the signs, remove
when the parking areas are full.
2.3.7 Registration at the Visitors Center and at Francis Sporting
Goods: Molly will coordinate race day registration; Packet pickup
will be outside the depot, registration inside. Dee, Gene, Lori, and
Stacy will cover packet pick-up at Francis from 3:00-6:00 Nov. 21.
2.3.8 Aid station: John and Becky will coordinate. It will be
located on the far corner of 9th Street either at Maple or Locust.
Becky has the materials. She needs to obtain paper cups.
2.3.9 Contact LPD and EMT: Dee will send entry forms and the course map
2.3.10 Music and PA system: Ed has the equipment and is willing to MC.
2.3.11 Volunteers will receive shirts this year. Gene brought size
samples. He has a friend who is designing the artwork.
2.3.12 Gene and Dee will acquire portapotties
2.3.13 Gene said there were 13 entries, some from as far away as
Minnesota and Illinois.
2.3.14 Don will check with local supermarkets regarding purchase of
turkey cookies.
3. Each member should consider being an officer in 2008 or suggest candidates.
Club election will be held at the November meeting.
3.1. Molly wants to pass the treasurer position on to another member. John said
he was willing to be treasurer. Dee is willing to continue
coordinating the Thanksgiving Day Run. Don would like another member to consider the president position.
4. Other items discussed:
4.1. Molly suggested members receive registration discounts for
runLawrence-assisted races.
4.2. Our liability insurance is for clubs receiving less than $25,000
gross income per year. The policy requires the listing of the year's
events at the beginning of each year. The cost is based upon the
number of club members. Dee is willing to take member questions about
the insurance to the company.
4.3. Janet will suggest an after meeting dinner location for members
attending the November club meeting.
4.4. Steve distributed race entry forms. Members were encouraged to
distribute Thanksgiving Day entry forms.
4.5. Paul Boone is a new member.
